Course Evaluation Process

Distribution of Course Evaluations Forms:

Course evaluation forms are created specifically for each course (section) and instructor. There is a unique barcode affixed to each course evaluation form that connects the form to the course (section) and instructor. Course evaluations therefore cannot be shared between courses, sections, and instructors. If there is a need for additional forms, please contact the Provost’s Office.

  • All sections of a particular course should be kept separate in their individual envelopes, not combined into one envelope. The evaluations are processed by course/section, not as a combined group.
  • If a course evaluation form is turned in separately from the rest for a particular course, then all forms for the course will have to be rescanned. Please limit submission of individual forms to exceptional cases.
  • Course evaluations should be distributed during tenth week at a meeting of the course, but not when a quiz or exam is given. Course evaluations should be distributed at the end of the class time, allowing for a minimum of 15 minutes for completion.

In‐Class Instructions

  1. Secure a student volunteer to collect evaluation forms and take them to the Registrar’s Office.
  2. Read the FEC approved script.
  3. Ask students to complete the course number and name, instructor’s name, term, year and their personal information at the top of the form. Write course information on the board.
  4. Do not provide snacks or treats on the day of the course evaluation.
  5. Ask students to wait to write their evaluations until after the instructor finishes reading the script and leaves the room.
  6. The selected student volunteer brings all completed course evaluations in the provided envelopes to the Registrar’s Office.

After Course Evaluations are returned:

All course evaluations are returned to the Registrar’s Office by the student volunteer.

  1. The Registrar’s Office collects all Course Evaluations and returns them to the Provost’s Office.
  2. Once all course evaluations are collected in the Provost’s Office, the Administrative Secretary scans all course evaluations by barcode.
  3. All course/section/instructor results are saved in a separate file and a Summary sheet, including all original scanned course evaluations (with comments), is created.
  4. The raw data is sent to Information Services, where the data is processed, statistics calculated and trend lines plotted.
  5. Information Services then sends the New Course Evaluation Summary file back to the Administrative Secretary who compiles the results.

Distribution of Course Evaluation Results:

After all the data is collected, the results are distributed as follows:

  1. Both the (old) Summary Sheet and the New Course Evaluation Summary are sent via email to the Department Chair.
  2. Shortly afterwards (two to three days), both the (old) Summary Sheet and the New Course Evaluation Summary are sent to the Instructor.
  3. Hard copies of all course evaluations are returned to the instructors. They are theirs to keep.
